Meeting Room Policy
The Nottawa Township Library Meeting room is available on a first-come, first-served basis. Library events will be
given priority over other groups for use of the room. At this time, the meeting room will only
be available during open library hours.
Educational, cultural, governmental or charitable meetings, forums, presentations, and
similar activities are approved for this room. Refreshments are allowed in meeting room.
Consumable items such as coffee cups, napkins, condiments, etc. must be supplied by the
group using the room. At this time, the meeting room will not be booked for personal events
such as birthday parties, wedding showers, etc.
An application for the use of the room must be completed and approved by the
Library Director or Assistant Director prior to the date of use. The group must have at least
two contact people listed. The group will be held financially liable for any damage done to
the library building or property.
Each group will be given a copy of The Rules of Behavior Policy and adhere to these
rules. Adults in the group will be responsible for children in attendance.
The Library is a non-smoking facility and grounds. No alcohol or illegal drugs are
permitted on the premises.
The group is responsible for the set up and the cleaning of the meeting room. The
room must be vacated and clean within 10 minutes of the library closing for the day. Future
use of the room will be denied if the room is not left in an acceptable condition.
There are chairs and tables available for use. The kitchen area can be used with
permission. The group size must stay within the posted room capacity (30). Groups must
remain within the meeting room unless other arrangements have been made. Restrooms are
located just outside the meeting room.
The library reserves the right to refuse future bookings if a group has failed to meet the
above guidelines or if the Library Board determines the proposed use of the room could be
disruptive to normal Library activities.
Groups reserving the meeting room shall not imply Library endorsement or sponsorship
of their objectives, views, or events in promotion or invitation.
All groups agree to hold Nottawa Township Library harmless from any loss, damage, or
liability that may arise during the use of their meeting room.
The Nottawa Township Library reserves the right to change these guidelines as needed.
